Terms of Service

1. Introductory provisions
These Terms of Service (the "terms") govern the use of the SubPRO platform (the "service"), operated by the platform provider (the "provider"). The service is intended for organizations sending workers abroad to manage employees, timesheets, documents, and projects.
By using the service you agree to these terms. If you do not agree, do not use the service.
2. Service description
SubPRO provides the following features:
- Management of workers and their documents (ID, driver's license, insurance, A1)
- Daily work reports and tracking of hours worked
- Management of projects, teams, and clients
- Document export — timesheets, reports, A1 forms
- AI OCR document scanning
- Fleet and accommodation management
- Offline mode (PWA) with data synchronization
The provider reserves the right to extend, modify, or remove features to improve the service.
3. Registration and user accounts
Access to the service requires registration of the organization by the provider. Each organization receives an administrator account through which it can create additional users.
- The organization is responsible for the accuracy of data entered into the system
- Login credentials are confidential — the organization is responsible for protecting them
- The provider may block an account in case of breach of these terms
4. Trial version
The provider may offer a 14-day trial version of the service without obligations. After the trial period:
- The organization may decide to continue with a paid plan
- If it does not continue, the account will be deactivated and data retained for 30 days
- After 30 days, the data will be permanently deleted
5. Pricing and payment terms
The price for the service is set according to the current pricing based on the number of active workers in the organization. Billing is monthly.

The provider reserves the right to adjust the pricing. The organization will be notified of any change at least 30 days in advance.
6. Service availability
The provider commits to ensuring service availability at 99.5% (annual average), with the exception of planned maintenance and circumstances beyond the provider's control (third-party infrastructure outages, force majeure).
The organization will be notified of planned maintenance at least 24 hours in advance.
7. Data ownership and protection
All data entered into the service by the organization remains the property of the organization.
- The organization may request an export of all its data at any time
- The provider does not share data with third parties except as required by law
- Data is isolated at the organization level — no organization has access to another organization's data
- Personal data processing is governed by the Privacy Policy
8. Liability and limitations
The provider is not liable for:
- The accuracy of data entered by the organization or its users
- Data loss caused by actions of the organization or third parties
- Outages caused by the organization's internet connection
- Damages exceeding the amount paid by the organization in the last 3 months
The provider is responsible for platform security, data backups, and compliance with applicable legislation including GDPR.
9. Service cancellation
The organization may cancel the service at any time, effective at the end of the current billing period.
- After cancellation, data is retained for 30 days for potential export
- After 30 days, all organization data will be permanently deleted
- The provider will confirm data deletion by email
10. Changes to terms
The provider reserves the right to modify these terms. The organization will be notified by email at least 30 days before the effective date of the change.
By continuing to use the service after the changes take effect, the organization agrees to the new terms. If the organization does not agree, it may cancel the service under section 9.
